Office Assistant/ Bookkeeper

On Site, Full-time Position

We are currently looking for an experienced, full-time software developer to join our dedicated team.

The Person We Seek

We are seeking an Office Technician and Bookkeeper to assist with multiple aspects of our day-to-day operations. This individual will interact with customers, vendors, managers, and coworkers to keep the company running smoothly. This role touches nearly every aspect of the business and plays a vital part in our ongoing success and growth.

Key Responsibilities

Bookkeeping

  • Accounts Receivable: create invoices, purchase orders, quotes, estimates, receipts, and related documents.
  • Accounts Payable: Confirm and enter bills, pay bills according to the office schedule, payment terms, and preferred methods.
  • Post revenue and deposit receivables into the company bank accounts.
  • Reconcile bank and credit card accounts.
  • Maintain complete, accurate, and consistent books in QuickBooks Enterprise.

Office Administration

  • Help with general office duties: ordering supplies, maintaining equipment, coordinating cleaning/housekeeping.
  • Maintain organization and cleanliness in conference, breakroom, and kitchen areas.
  • Purchase supplies/equipment and coordinate returns or repairs.
  • Receive and verify incoming shipments (PO, UPS, FedEx, etc.).
  • Prepare outbound shipments for customers and vendors.
  • Run local errands (bank, post office, shipping centers, local stores).
  • File and retrieve documents in both electronic and paper formats.
  • Protect the confidentiality and security of company, employee, and customer information.
  • Arrange staff travel.
  • Coordinate and schedule meetings and company events.

Customer Service & Marketing Support

  • Answer and screen phone calls with warmth and professionalism.
  • Greet visitors and direct them appropriately.
  • Help maintain customer and prospect databases.
  • Make occasional customer follow-up calls.
  • Learn company products and provide basic support or assistance.
  • Coordinate with technical staff to ensure customer issues are addressed and followed through.

Product Technical Support

  • Installation & Setup: Assist with the assembly of the hardware product line; assemble and install wiring, cabling, and electronic systems according to diagrams.
  • Testing: Follow checklists to test components and final products for customer purchase.
  • Repairs & maintenance: Troubleshoot malfunctions and coordinate with the engineering department for repairs and adjustments.
  • Documentation: Maintain logs and records of service, repairs, and inspections as well as system changes.
  • Maintain Inventory: order supplies when needed, organize and store parts for easy access and tracking.

Qualifications

Education: Associate’s degree or higher (or equivalent experience).

Experience: Prior work experience highly preferred but not required.

  • Familiarity with accounting and business concepts
  • Familiarity with electronics and technology.
  • Training/experience in customer service.

Working Conditions:

  • Full-time, salaried position.
  • Office-based with occasional local travel for errands.
